City Council authorizes budget adjustment for digitizing additional city records

The Canyon Lake City Council on Wednesday authorized a budget adjustment in the amount of $11,000 for the digitizing of additional city records.

One of the 2020 goals the City Council adopted in January was to digitize city records. Over the last several months, the staff has been working to meet that goal.

The city contracted with ESC Imaging, Inc. ESC has been assisting the city with the scanning of various documents due to the city’s lack of equipment and resources. Most recently, the city has identified the Building and Safety Department as the most critically in need of scanning due to the accumulation of plans and permits since the city incorporated.

Staff initially anticipated spending $5,500 in the fiscal year 2020-2021 for the scanning of additional documents with the intent that additional scanning costs would be spread throughout future fiscal years.

 Since the adoption of the city’s budget on June 3, 2020, staff has identified the need to scan the remainder of the Building and Safety documents to allow the destruction of paper records, which would create much-needed space in the department.
